An Upwork proposal example that answers the actual brief

A useful proposal connects the client's requested work to relevant evidence from your background. Explain a credible first step and ask about the biggest unknown. You do not need to repeat your entire resume or invent results to sound capable.

The fictional brief

A 12-person B2B software team uses HubSpot. Leads lose context between sales and onboarding. The team asks for CRM cleanup, a documented handoff and a weekly pipeline report. The applicant has real experience with those tasks, but has not inspected this team's system.

An opening that gives the client little to work with

Generic enthusiasm does not show that you understood the assignment. Claims such as guaranteed growth also go beyond the work requested.

Weak opening: I am the perfect expert to revolutionize your business and take your operations to the next level.

A more specific proposal

This fictional draft makes the connection to the brief, limits the claim to stated experience, and leaves scope and availability open for confirmation.

Your brief points to a handoff problem: the context in HubSpot is not consistently reaching onboarding. I have three years of operations experience maintaining CRM records, documenting sales-to-onboarding handoffs and preparing weekly reports in Google Sheets. I would start with a sample of recent handoffs, agree the required fields and ownership with your team, then document a checklist and a weekly view of missing context and next actions. How many records and handoffs are in scope, and who owns the transition today? Once those are clear, I can confirm availability and a scoped quote.

Why each part belongs

The opening names the client's problem without claiming an audit has already happened. The experience paragraph gives relevant evidence. The approach describes an observable first step. The closing question identifies a fact that affects workload and price.

What to change before sending

Replace all fictional background with your own facts. Add availability only after checking your calendar. Include a work sample only if you have permission. Read the current listing for required questions or application instructions, then submit the proposal yourself.

Before you use it

  • Did I answer the requested deliverables?
  • Can I substantiate the experience I mention?
  • Have I avoided claiming access I do not have?
  • Is my first step realistic?
  • Does the question clarify scope instead of asking something the listing already answers?
